Summary

If you need to send a document that contains personally identifiable information (PII), you should avoid attaching the data to an email or including it in the body text of an email. Instead, you should use the SDBOR-approved secure file transfer solution.

Body

If you need to send a document that contains personally identifiable information (PII), you should avoid attaching the data to an email or including it in the body text of an unencrypted email. Instead, you should use the SDBOR-approved secure file transfer solution. This tool has two modes of operation: the web client portal and the the Outlook plugin. This document describes how to securely transmit files using the web client portal. To use:

  1. In a browser, open the URL https://sft.sdbor.edu
     
  2. Log in with your AD credentials and complete the Duo requirement.
     
  3. Click on Compose and follow these steps:
  1. Drag and drop the file you wish to transfer from your PC to the Attachments section. Alternatively, you can manually upload by clicking “browse to attach files.”
     
  2. Write your message – note users will not see the message until they have accessed the file. (See screenshots below of what the To: recipients see
     
  3. You will need to enter each email address – this product is not linked to the global address book. If you try cutting and pasting a large group of emails into the To: line it will not work, as cutting and pasting from Outlook will give include semicolons (;) between each name. GoAnywhere requires that email addresses be separated with commas (,). Once you have typed in someone’s email address, you will not need to do it again as it will be stored in the system for future use.
     
  4. Select the Expire Package option and select a number of days (recommended max is 3) – this will provide another layer of security by having these datasets/files/spreadsheets not sitting around for any longer than necessary.

  1. Click send - you will have some options pop up to select from. Select the “Password Protect Package” option to add another layer of security. Do not include the password in the email and it is recommended that you generate the password automatically.

  2. Send the generated password to the same ‘To:’ recipient(s) in a separate email. What was the generated password? Note as soon as you send you will see this:

    If you forget to write down the password for the package, you can see it by going to Mail -> Sent Items. Click on the gear icon in front of your particular message and click View Details. Towards the bottom of the details, note the Show Password option. Clicking this will show the password for that message.
