How to Set Calendar Visibility in Outlook

You can control who sees your availability and details by adjusting Calendar Permissions:

For Desktop or Web

In Outlook Desktop App

  1. Open Outlook and go to Calendar view.
  2. Right-click your calendar (usually named “Calendar”) in the left pane.
  3. Select PropertiesPermissions tab.
  4. Click Add to choose people from your organization.
  5. Assign a permission level:
    • Free/Busy time: Others see only if you’re free or busy.
    • Free/Busy time, subject, location: Shows basic details.
    • Full Details: Shows everything.
  6. Click OK to save.

In Outlook Web (OWA)

  1. Go to https://outlook.office.com.
  2. Click CalendarShare.
  3. Enter the email address of the person or group.
  4. Choose the permission level (same options as above).
  5. Click Share.
